Configuring Notion AI Before You Roll It Out to Your Team

Turning on Notion AI without touching any settings is like opening a workspace to everyone and assuming the defaults will be fine. Sometimes they are. Rarely. Here's what to check before launch.

Where the Notion AI settings live

Every AI setting for the workspace lives in one place: Settings → Notion AI. It's an admin panel, not a personal preference, only owners and admins can change it.

You'll find five main controls there:

  • Turn Notion AI on or off for the whole workspace. On Free and Plus, that's a limited trial. On Business and Enterprise, it's full access.
  • Data sharing for model improvement. This setting controls whether your prompts and content can be used to improve third-party LLMs. Off by default on Business and Enterprise. On Free and Plus, the default is on.
  • AI Meeting Notes. Can be restricted to specific members or opened up to anyone with AI access.
  • Enterprise Search. Lets you connect external sources (Google Drive, Slack, etc.) to AI search. Needs a separate connector setup.
  • Enterprise controls (Enterprise plan only). Two extra settings show up here on the Enterprise plan: sensitive content alerts and plan approval.

The setting to explain to skeptical teams

The first question any privacy-conscious team asks is: "is our data being used to train AI models?"

Short answer: not by default on Business and Enterprise. Data sharing for model improvement is off by default on those plans. On Free and Plus, it's on by default, but you can turn it off in settings.

What the setting actually covers: your prompts and the content snippets processed by LLM providers. What it doesn't cover: how long those providers retain your data (which follows its own policy, 30 days by default outside Enterprise, zero on Enterprise, as covered in the previous article).

If leadership or your DPO wants something in writing, point them to Notion's DPA (Data Processing Agreement) and the SOC 2 Type 2 report, available on request. Those two documents cover the vast majority of compliance requests.

The controls that are Enterprise-only

If you're on Enterprise, two extra settings show up in the Notion AI panel:

  • Sensitive content alerts (DLP). Notion AI can automatically flag answers that appear to contain sensitive information (card numbers, health data, confidential details). The alert doesn't block the answer from showing, it marks it for review. Turn it on if you have formal compliance requirements.
  • AI plan approval. Lets admins manually approve which members can use advanced AI features, useful if you want a gradual, team-by-team rollout rather than instant access for everyone.

Neither control exists on Business. If one of these is a requirement from your leadership or a security audit, that's a real reason to move up to Enterprise.

A six-step rollout checklist

Before you send the "Notion AI is live for everyone" message:

  1. Check the plan. Full Notion AI (Notion Agent, AI Meeting Notes) needs Business at minimum. On Free or Plus, you'll be launching a limited trial, not the tool at full strength.
  2. Turn off data sharing if needed. Go to Settings → Notion AI and check the status of data sharing for model improvement. On Business and Enterprise, it's already off by default. On other plans, worth confirming.
  3. Configure AI Meeting Notes. Decide whether everyone can turn it on or only specific members. An unprepared blanket rollout often creates friction in the first week: people surprised to be recorded, duplicate notes, and so on.
  4. Clean up the workspace before launch. Bad Notion AI answers almost always come from outdated, contradictory, or poorly named pages. A quick audit (untitled pages, obvious duplicates, orphaned pages from two years ago) improves accuracy more than any setting does.
  5. Train as a group, not one-on-one. A live demo where you ask a real question about the real workspace beats ten written tutorials. People get it the moment they see a useful answer pulled from a page they recognize.
  6. Document expected uses and limits. One simple internal page: "what Notion AI is good at here, where it falls short, how to check its sources." That cuts down on first-week disappointment.

What you're actually building this on

A rollout that works isn't a setting, it's a workspace. Configuration takes twenty minutes. But the quality of the answers your team gets three months from now depends on how your Notion is structured today: pages kept current, clearly named, organized into coherent teamspaces.

If you roll out Notion AI onto a workspace that was thrown together, you multiply how fast people get to mediocre content. If you roll it out onto a well-structured one, you multiply how fast they get to real answers.

That's why Notion adoption support almost always starts with information architecture, not AI configuration.
