What Notion shouldn't handle as a freelancer (and why that's good news)

Notion can do a lot of things.

It can manage your clients, your projects, your documentation, your notes, your processes. In this guide, we've built a system around two pillars: clients and projects. It works well for that.

But there are things Notion does badly. Structurally. Not because it's poorly designed, but because it was never designed for them. Invoicing and finances fall into that category. Accepting that is a smart decision.

What Notion handles badly, structurally

Notion is an information management tool. It stores, organises, and links data. What it doesn't do well:

Complex financial calculations. Notion has formulas. They're useful for simple maths. But once you bring in VAT, variable day rates, discounts, or deposits, the formulas get fragile and hard to maintain.

Accounting exports. Your accountant needs files in precise formats. Notion doesn't produce those formats. You'll end up re-entering everything elsewhere anyway, which cancels out the time you thought you saved.

Automatic payment reminders. A dedicated invoicing tool chases unpaid invoices for you. Notion doesn't do that natively.

Legal compliance. An invoice has mandatory fields, a sequential number, rules that vary by business status. A proper invoicing tool handles that automatically.

The tools that do it better

There are tools built specifically for freelance invoicing. A few common options, with no particular endorsement:

  • FreeAgent: built for freelancers, covers invoicing and basic bookkeeping
  • QuickBooks Solopreneur: accounting and invoicing aimed at independents
  • Bonsai: a fuller toolkit for freelancers who want contracts, invoicing and time tracking together
  • Wave: free accounting with invoicing built in
  • Invoice Ninja: minimal, for those who just want to issue invoices

You don't need the most complete tool. You need the one you'll actually keep using.
