When to bring in a Notion consultant as a freelancer (and when you don't need to)

Virgile Gouala · Notion consultant·Building a Notion system as a freelancer· 6 min read

This guide was designed so you could build your Notion system entirely on your own.

Everything in it can be applied without outside help. If you've followed the series this far, you have what you need to do it.

But there are situations where bringing in someone else makes sense. Not because you're not capable. Because an outside perspective saves time, prevents mistakes, or unblocks something you can no longer see once you're too close to your own system.

Situations where a consultant isn't necessary

Let's be direct. You don't need a Notion consultant if:

  • You're starting from scratch and have time to learn by building
  • Your system works and you just want to improve it gradually
  • You have a specific issue that Notion's documentation or a quick search can solve
  • You've just read this guide and want to apply it before going any further

In these cases, the investment isn't justified. A consultant isn't a systematic shortcut. It's a resource for specific situations.

Situations where it genuinely makes sense

There are moments where an outside perspective really does change something.

You've been stuck on a specific problem for too long. A database behaving unexpectedly. A relation between two tables that won't work. If you've spent more than an hour on a problem without solving it, a short session saves a lot of time.

Your existing workspace has stopped working and you don't know why. It worked fine for a while. Now it's slow to update, hard to navigate, and you sense it needs rebuilding but don't know where to start.

You're starting from scratch and want to get the choices right from day one. You've already watched a system collapse once. You don't want to repeat that experience.

Your business has evolved and your system hasn't kept up. You've changed the type of clients you work with, added a service, started working with subcontractors. Your system was designed for an older version of your business.
