Configure Notion AI before rolling it out to your team

Enabling Notion AI without touching the settings is like opening a workspace to everyone and assuming the defaults are fine. They sometimes are. Rarely. Here's what to check before launch.


Where the settings live

All workspace-level AI settings are in one place: Settings → Notion AI. This is an admin panel, not a personal setting: only workspace owners and administrators can modify it.

You'll find five main controls:

  • Enable or disable Notion AI for the entire workspace. On Free and Plus plans, this is limited trial access. On Business and Enterprise, it's full access.
  • Data sharing for model improvement. This toggle controls whether your queries and content can be used to improve the underlying LLMs. Disabled by default on Business and Enterprise. On Free and Plus, the default is enabled.
  • AI Meeting Notes. Can be restricted to specific members or opened to all members with AI access.
  • Enterprise Search. Connects external sources (Google Drive, Slack, etc.) to AI search. Requires separate connector configuration.
  • Enterprise controls (Enterprise plan only). Two additional settings appear here on Enterprise: sensitive content alerts and plan approval.

The setting to walk your skeptical teams through

The first reflex of any privacy-conscious team will be: "Is our data being used to train AI models?"

The short answer: not by default on Business and Enterprise. Data sharing for model improvement is off by default on those plans. On Free and Plus, it's on by default, but you can turn it off in Settings.

What the setting covers specifically: your queries and the content excerpts processed by LLM providers. What it does not cover: data retention with those providers (which follows its own policy, 30 days by default outside Enterprise, zero on Enterprise as covered in the previous article).

If your legal or DPO team asks for written evidence, point them to Notion's DPA and the SOC 2 Type 2 report (available on request). Those two documents hold up in the vast majority of compliance reviews.


Enterprise-only controls

On Enterprise, two additional settings appear in the Notion AI panel:

  • Sensitive content alerts (DLP). Notion AI can automatically flag responses that appear to contain sensitive information (card numbers, health data, confidential details). The alert doesn't block the response: it marks it for review. Enable this if you have formal compliance requirements.
  • AI plan approval. Lets admins manually approve which members can access advanced AI features. Useful for a phased rollout by team rather than giving everyone instant access.

Neither of these controls exists on Business. If either is a hard requirement from your leadership or your security audit, that's a genuine case for Enterprise.


A six-step rollout checklist

Before sending the "Notion AI is available to everyone" message:

  1. Confirm your plan. Full Notion AI (Notion Agent, AI Meeting Notes) requires Business at minimum. On Free or Plus, you're launching a limited trial, not the full tool.
  2. Check the data sharing toggle. Go to Settings → Notion AI and verify the state of the model improvement sharing setting. On Business and Enterprise, it's already off by default. On other plans, verify.
  3. Configure AI Meeting Notes. Decide whether everyone can enable it or only specific members. An unmanaged universal rollout often creates friction in the first week: people surprised to be recorded, duplicate notes, notes landing in the wrong place.
  4. Clean up the workspace before launch. Bad answers from Notion AI almost always trace back to outdated, contradictory, or poorly named pages. A quick audit (untitled pages, obvious duplicates, orphaned pages from two years ago) improves accuracy more than any setting.
  5. Train as a group, not individually. A live demo where you ask a real question about real workspace content is worth ten tutorials. People understand the tool when they see a useful answer pulled from a page they recognize.
  6. Document expected uses and limits. A simple internal page: "what Notion AI does well here, what it does less well, how to check its sources." It reduces disappointment in the first week.

What you're actually building

A working AI rollout is not a setting, it's a workspace. The configuration takes twenty minutes. But the quality of answers your team gets three months from now depends on how your Notion is structured today: pages that are current, clearly named, organized into coherent teamspaces.

If you deploy Notion AI on a workspace built in a hurry, you accelerate how fast people reach approximate content. If you deploy it on a well-structured workspace, you accelerate how fast they find real answers.

That's why a Notion adoption engagement almost always starts with information architecture, not AI configuration.
