When to call a Notion consultant as a freelancer (and when you don't need one)

This guide was designed so you can build your Notion system on your own.

Everything in it can be applied without outside help. If you've followed it through to here, you have what you need to do it.

But there are situations where bringing in someone else makes sense. Not because you're not capable. Because an outside perspective saves time, avoids mistakes, or unblocks what you can't see when you're too close to your own system.


Situations where a consultant isn't necessary

Let's be direct. You don't need a Notion consultant if:

  • You're starting from scratch and have the time to learn by building
  • Your system works and you just want to improve it gradually
  • You have a specific blocker that Notion's documentation or a quick search can resolve
  • You've just read this guide and want to apply it before going further

In these cases, the investment isn't justified. A consultant isn't a systematic shortcut. It's a resource for specific situations.


Situations where it makes sense

There are moments where an outside perspective genuinely changes things.

You've been stuck on a specific problem for too long. A database that doesn't behave as expected. A relation between two tables that doesn't work. If you've spent more than an hour on a problem without solving it, a short session saves a lot of time.

Your existing workspace no longer works and you don't know why. It worked well for a while. Today, it's slow to update, hard to navigate, and you sense everything needs rebuilding without knowing where to start.

You're starting from scratch and want to make the right choices from the beginning. You've already seen a system collapse. You don't want to repeat the experience.

Your activity has changed and your system no longer keeps up. You've changed client types, added a service, started working with subcontractors. Your system was built for an old version of your business.

What a Notion consultant actually does

A Notion consultant isn't a technician who configures databases for you. What they mainly do: ask the right questions before touching anything. Understand your activity, your constraints, your comfort level with the tool. Identify what's actually blocking you and why.

What they don't do: impose a generic structure. Sell you features you don't need. Build a system you don't understand and can't maintain on your own.

A good consultant makes you independent. Not dependent.


How to choose

A few objective criteria if you decide to work with a Notion consultant:

  • They must understand your activity before proposing anything. If the first thing they do is show you a template, leave.
  • They must be able to explain their choices. Why this structure and not another. If the explanations are vague, the system will be fragile.
  • They must leave you capable of working alone after their involvement. The goal of an engagement is your autonomy.
  • They must be honest about what you actually need. If you need a one-hour session, they shouldn't sell you a three-month retainer.

Notion Audit · €490 excl. VAT. For an existing workspace that's stopped working. Over 5 to 7 days, I analyse your system, identify what's blocking and why, and give you a prioritised action plan.

Build · €2,000 excl. VAT. To start from scratch with a complete system. Over 3 to 4 weeks, we build together a structured workspace adapted to your activity, and I make sure you're fully autonomous on it by the end.
